License & Terms of Use

Plain language first: you pay an annual licence fee for access to the Product, the materials and everything that keeps them current, plus a one-time implementation fee to get your school set up. The licence runs for twelve months and renews annually. Cancelling stops the renewal — it does not cut short the year you have already paid for — and the materials you have downloaded are yours to keep. The license is individual and nontransferable — it is for your school, not for resale. Everything here is an educational and operational resource, not legal advice and not a guarantee of licensing or approval. The detail is below.

1. Who you are agreeing with

These terms are between you and CompassionateMA Coaching & Consulting ("we", "us"). They apply when you activate, access, download or use the Healthcare Training School Command Center — the hosted platform, the console application, the implementation roadmap, the training modules, and the templates, policies, forms, checklists and worksheets delivered with them (together, "the Product").

Two things are being sold, and they are separate. The Primary School License is an annual fee for access to the Product, the materials library, maintenance, updates, new resources and technical support for the licence term. The Initial Implementation is a one-time fee for orientation and for setting your school up in the Product. The implementation fee is charged once and is not part of any renewal.

2. What your license allows

Each license is issued to one school/institution and is non-transferable. The license provides access to the CompassionateMA Healthcare Training School Command Center for the active subscription term. Separate institutions require separate licenses. Additional approved campuses or locations operating under the same institution may be added subject to the applicable additional-location fee.

3. What your license does not allow

If you operate more than one school, or you want to include the Product in something you deliver to clients, contact us. Multi-school and partner licensing is available and it is not expensive. Taking it without asking is what ends a license.

4. Your data is yours, and we hold it for you

When you use the Command Center signed in, everything you enter — including student names, balances and credential numbers — is stored in your account on our hosted platform. That is what lets you sign in from another device and find your school where you left it. Access is scoped to your organisation at the database level, so no other school can reach your records.

The records remain yours. We hold them on your behalf and for no other purpose. We do not sell them, share them, analyse them or use them to train anything. One click in School Profile exports your entire school as a file you keep.

You are not locked in. You may download the Command Center and run it offline under your licence, with no account and no connection. Used that way it stores everything in your own browser and sends us nothing — and in that mode we cannot see it, recover it, or restore it if you lose it, so backups are entirely yours.

Deciding what student information to collect, who on your team may see it, how long to keep it, and complying with any student-records, health-information or privacy laws that apply to your school remain your responsibility. Give team members the least access they need and remove people who leave.

When your licence ends we keep your school's records for ninety days so you can sign in and export them, then delete them permanently. Ask inside that window and we will export them for you. Ask us to delete them sooner and we will. If we ever discover a breach affecting your records we will tell you what happened and what was affected, without waiting to be asked.

5. Fees, billing and cancellation

Fees

The Primary School License is $4,997 per year. The Initial Implementation is $1,500, charged once. Both are charged at signup, so the first year is $6,497. Each additional approved campus or location operating under the same institution is $2,500 per year each. A separate legal school or institution is not an additional location and requires its own full $4,997 per year license.

Term and renewal

The licence term is twelve months from the date of your first licence payment. It renews automatically for a further twelve months at the then-current annual fee until you cancel. We will not change the fee for a term you have already paid for.

Cancelling

You may cancel at any time. Cancellation stops the next renewal; it does not end the term you have already paid for. Your access continues to the end of that term. On expiry you keep the core materials you have already downloaded under your license, and everything you have built inside your own school. You lose access to the live platform, future updates, newly released resources, technical support and updated platform tools.

Refunds

Fees are non-refundable, in whole or in part. There is no refund window. The licence delivers digital materials and platform access immediately, and the Initial Implementation is work performed for you. Because there is no refund, please read the product page, the inclusions list and this page before you licence your school, and write to us with any question first — we would rather answer a question than take a sale that is a poor fit.

If your access link fails, a file will not open, or you were charged twice, contact us and we will fix it.

6. What the Product does not do

The Command Center is an organizational and tracking tool. It is not legal, accounting, tax, regulatory or accreditation advice, and it is not a substitute for your state agency's requirements, an attorney, or a licensed accountant.

We make no promise, express or implied, that using the Product will result in state approval, accreditation, licensure, enrollment, revenue or any other outcome. Approval decisions belong entirely to your state agency and are based on your application, your documents and your compliance — not on any software.

The pre-loaded roadmap, the 68-document checklist and every policy, form, template and checklist in the library reflect requirements that recur commonly across jurisdictions. They are educational and operational starting points, not legal standards, and we do not represent that any of them satisfies the requirements of any particular state, agency or accreditor. Requirements vary by state, agency, program and year, and they change. You are responsible for adapting each document to your own agency's current requirements and for verifying it before you rely on it or submit it.

The regulatory and industry-update summaries provided under your licence are general information only. They are not tailored to your school, they are not legal advice, and they do not replace reading your own agency's rules.

7. What the licence provides

While your licence term is active you receive continued access to the hosted platform; platform hosting, maintenance and technical upkeep; new and revised templates; updated checklists and implementation tools; new training videos and recorded walkthroughs; general regulatory and industry-update summaries; an expanding resource library; technical support; and platform improvements and feature updates.

Support covers using the Product. It does not include completing your state application, writing your documents for you, reviewing your school's compliance, or representing you before any agency. We do not commit to a specific number of new resources in any given month, and the mix of updates is at our discretion.

Your orientation and platform setup session is part of the Initial Implementation and must be scheduled within 120 days of your first payment, after which it expires.

8. Suspension and changes to the platform

We may modify, improve or retire individual platform features, and we may suspend access for non-payment or for breach of Section 3. If we permanently discontinue the hosted platform altogether, we will give reasonable notice and you will keep the materials you have already downloaded under your license.

9. Limitation of liability

To the fullest extent permitted by law, our total liability arising out of the Product is limited to the amount you paid us in the twelve months before the claim. We are not liable for lost data, lost profits, missed deadlines, denied applications, regulatory penalties, or any indirect or consequential losses. The Product is provided "as is" and "as available".

10. Intellectual property

The Product, its structure, its content, its wording and its design remain our property. Nothing you enter into your copy becomes ours, and nothing about our Product becomes yours beyond the license granted in Section 2.

11. Termination

Your license ends automatically if you breach Section 3. On termination you must stop using the Product and delete your copies. Your own school data remains yours.

12. Governing law and changes

These terms are governed by the laws of the State of Arkansas. We may update these terms; the version in force is the one published on this page at the time of your purchase, and material changes will carry a new date at the top.
